Version 1.0 (16)

This Privacy Policy explains how T4I LLC ("T4I," "we," "us," or "our") handles information when you use ClubhouseIQ. It applies to the ClubhouseIQ application, related websites, support communications, and features that link to this policy.

Release review notice. This policy is based on ClubhouseIQ Version 1.0 (16), reviewed on August 2, 2026. Before each public or beta release, T4I LLC must confirm that App Store privacy responses, production CloudKit behavior, enabled SDKs, and the shipped application remain consistent with this policy.

1. Information ClubhouseIQ Handles

Account and identity information. If you use Sign in with Apple, ClubhouseIQ may receive an Apple-provided user identifier and, when Apple makes it available, your name or relay email address.

Baseball, softball, team, and participant information. Users may enter player and coach names, profile details, birth dates or age-related information, guardian acknowledgements, team membership, positions, jersey numbers, schedules, locations entered by the user, practices, tasks, lineups, plays, scores, statistics, game stories, and related records.

Photos and media. Users may choose photos or media from their device for profiles, teams, or player media. ClubhouseIQ receives only the items the user selects through Apple-provided controls.

Sharing and invitation information. ClubhouseIQ processes the links, codes, relationship roles, permissions, and records needed to connect team members, guardians, family members, fans, and Live Game viewers.

Technical and support information. We may receive information you provide in support communications and limited diagnostic information that you choose to share. The reviewed application does not include third-party advertising or analytics SDKs.

2. How Information Is Used

  • Provide scoring, team, schedule, roster, statistics, player-development, sharing, and account features.
  • Synchronize authorized information across the user’s devices and permitted collaborators.
  • Maintain data integrity, prevent duplicate or conflicting records, and restore app state.
  • Generate user-requested summaries, insights, exports, notifications, and on-device assistance.
  • Respond to support, security, legal, and product-quality requests.
  • Comply with law, enforce agreements, and protect users, T4I LLC, and the service.

3. Storage, iCloud, and On-Device Processing

ClubhouseIQ is designed as a local-first application. Information may be stored on the device and synchronized through Apple iCloud and CloudKit under Apple’s services. Apple’s own terms and privacy practices also apply to iCloud and Sign in with Apple.

ClubhouseIQ’s intelligence features are designed to use Apple on-device capabilities when available. The reviewed release does not send ClubhouseIQ data to an external generative-AI provider. If T4I later enables an external AI or analytics service, this policy and the App Store disclosures must be updated before that service is used with personal information.

In Version 1.0 (16), Camera Mode records video locally on the user’s device. It does not provide a T4I-hosted public video stream. The scorebug shown in Camera Mode is an interface overlay and is not represented as being permanently burned into every saved recording.

4. Sharing and Disclosure

Information is shared when a user chooses to connect accounts, join or manage a team, invite another person, publish a Live Game, export a record, or use an Apple sharing feature. The information visible to another user depends on the selected role, relationship, and permission.

We may disclose information to service providers that support the application, such as Apple for platform, authentication, iCloud, CloudKit, notification, and distribution services; when required by law or valid legal process; to protect rights, safety, or service integrity; or as part of a merger, financing, acquisition, or transfer of the ClubhouseIQ business, subject to appropriate protections.

T4I LLC does not sell personal information. The reviewed application does not use personal information for third-party behavioral advertising or cross-app tracking.

5. Youth Players and Guardian-Managed Use

ClubhouseIQ includes youth-player and guardian-related features. A parent, legal guardian, coach, school, league, or organization using ClubhouseIQ is responsible for having appropriate authority and providing required notices or obtaining required permission before entering or sharing a minor’s information.

A child should not create or independently manage an account when applicable law or Apple’s requirements require parent or guardian involvement. Guardian acknowledgements and in-app relationship labels support the product workflow but do not replace legally required consent. If you believe information about a child was entered without proper authority, contact us so we can investigate and take appropriate action.

6. Retention, Access, Correction, Export, and Deletion

ClubhouseIQ retains information for as long as it is needed to provide the service, preserve authorized team and game history, comply with legal obligations, resolve disputes, and protect the service. Local and CloudKit copies may not disappear immediately from backups or synchronized devices.

Users can correct many records in the application. Available exports may be used to preserve supported records. To request access, correction, export assistance, unlinking, or deletion that is not available in the application, email contact@clubhouseiq.app. We may need to verify the requester’s identity, authority, and relationship to the relevant account or minor. Some finalized game records or records shared with other authorized users may be retained or de-identified when necessary for integrity, legal compliance, or the rights of others.

7. Security

T4I LLC uses reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information. No storage or transmission method is completely secure. Users should protect their Apple Account, device passcode, invitations, exported files, and shared links.

8. International Use and Legal Rights

ClubhouseIQ is operated from the United States. Information may be processed where T4I LLC and its service providers operate. Depending on where you live, you may have additional privacy rights. We will respond to verified requests as required by applicable law.

9. Changes to This Policy

We may update this policy as ClubhouseIQ changes. We will revise the effective date and provide additional notice when required. Material product changes involving new data categories, third-party SDKs, external AI services, advertising, or materially different sharing require a policy and App Store disclosure review before release.
